By enrolling in a Project Learn program or using our website https://projectlearn.co, you agree to abide by the following Terms and Conditions. These terms are designed to ensure the safety, well-being, and mutual respect of all participants, families, and staff involved in our programs. Please read them carefully before completing registration or participating in any activity.
1. Program Enrolment
1.1 Enrolment is open to students in TK–12th grade, subject to space availability.
1.2 All registration forms, emergency-contact information, and medical details must be completed accurately before participation begins.
1.3 Enrolment is confirmed only after full payment (or deposit, if arranged) has been received.
2. Participant Expectations
2.1 All students are expected to:
• Behave respectfully toward instructors, peers, and the learning environment
• Follow all safety instructions and program guidelines
• Participate actively and contribute positively to group activities
2.2 Project Learn reserves the right to withdraw any participant whose behavior jeopardises the safety or experience of others. In such cases, no refund will be issued.
3. Parent/Guardian Responsibilities
3.1 Parents/guardians agree to:
• Provide accurate, up-to-date health, emergency, and contact information
• Notify staff of any physical, emotional, or behavioural needs relevant to their child’s participation
• Ensure punctual drop-off and pick-up from the designated program site
• Support and reinforce Project Learn’s rules and communication efforts
3.2 Failure to comply with drop-off/pick-up times may result in additional supervision fees or withdrawal from the program.
4. Fees and Payment
4.1 Program fees are posted on our website and must be paid in full prior to the program start date, unless alternative arrangements have been approved in writing.
4.2 For year-round monthly-tuition programs, payments are due on the first day of each month.
4.3 We accept payment via credit/debit card, electronic bank transfer, or any other method specified during checkout.
4.4 A late-payment fee may apply if payment is not received by the due date (see FAQ for details).
5. Refund & Cancellation Policy
5.1 We understand that family schedules change. Our cancellation and refund policy is as follows:
• Cancellations made 14 or more days before the program’s first day: 100% refund
• Cancellations made 7–13 days before the first day: 50% refund
• Cancellations made fewer than 7 days before: No refund
5.2 Refunds will not be issued for missed days due to illness, vacations, or other absences, except under exceptional circumstances at Project Learn’s discretion.
5.3 If Project Learn must cancel a program due to extreme weather, safety concerns, or unforeseen events, we will offer:
• A make-up session (if feasible)
• A credit toward a future program
• A full refund
6. Health & Safety
6.1 All participants must have a completed Emergency & Medical Form on file before attending any on-campus days.
6.2 Parents/guardians must notify us in advance of allergies, medications, or any specific health concerns.
6.3 Project Learn employs staff certified in CPR and First Aid.
6.4 If a participant is ill, experiencing contagious symptoms, or has a temperature above 100°F, they should remain at home for the safety of all.
6.5 In the event of a serious illness or injury during a program, our staff will:
• Administer basic first aid as needed
• Contact emergency services if required
• Notify parents/guardians immediately
7. Inclement Weather & Emergency Conditions
7.1 Our on-campus programs run rain or shine unless environmental or safety concerns arise (e.g., wildfire smoke, lightning, flooding).
7.2 In the case of extreme conditions, Project Learn may:
• Relocate to a safe indoor/outdoor alternative facility
• Modify programming to ensure safety
• Cancel the day/session with appropriate advance notice and offer refund/credit per Section 5
8. Media Release
8.1 By enrolling in Project Learn programs, you consent to photographs, videos, or audio recordings that may include your child for marketing, education, or social media—unless you submit a written opt-out request during enrolment.
8.2 Opt-out requests must be sent to hello@projectlearn.co before the program’s first day.
9. Limitation of Liability
9.1 Participation in project-based and outdoor learning involves inherent risks. By enrolling, you acknowledge and accept these risks.
9.2 Project Learn and its staff will not be held liable for injuries, damages, or losses except in cases of gross negligence or willful misconduct.
9.3 Parents/guardians are required to sign a separate Waiver of Liability & Assumption of Risk during enrolment.
10. Charter School Attendance Compliance
10.1 Charter school students may not exceed 12 instructional hours per week in external programs, per most charter regulations.
10.2 Families are responsible for tracking their own hours and ensuring compliance with their charter provider.
11. Intellectual Property
11.1 All content on this website—including text, images, program materials, and curriculum resources—is the intellectual property of Project Learn.
11.2 No portion of our intellectual property may be copied, reproduced, or redistributed without prior written permission from Project Learn.
12. Changes to These Terms
12.1 Project Learn may revise these Terms and Conditions at any time to reflect changes in our practices, legal requirements, or technology.
12.2 Updates will be posted on this page with a new “Effective Date.”
12.3 Continued participation or use of the website after changes are made constitutes acceptance of the revised terms.
